1. Who we are

AutoReceptionist Ltd ("we", "us") provides AI receptionist services to UK clinics. We are the data controller for clinic enquiries made through this website, and the data processor for call/chat data handled on behalf of our clinic customers.

2. What we collect

Website enquiries: name, email, clinic name, phone (if provided).
Live AI chat: the messages you send. Stored for up to 30 days for service improvement.
Clinic call/chat data (on behalf of customers): caller phone number, transcript, recording (where opted in), booking details.
Usage analytics: page views, anonymised device and country information.

3. Lawful basis

We process website enquiry data on the basis of legitimate interest (responding to your question) and consent (marketing follow-up — you can opt out at any time). Clinic call/chat data is processed under the contract between AutoReceptionist and the clinic.

4. Where data is stored

All data is stored on UK servers. We do not transfer personal data outside the UK or EEA without appropriate safeguards. AI model providers used for transcript generation are bound by UK GDPR-compliant data processing agreements.

5. How long we keep it

Website enquiries: 24 months from last contact. Chat logs: 30 days. Clinic call data: per the clinic's retention settings (default 90 days). You can request earlier deletion at any time.

6. Your rights

Under UK GDPR you have the right to access, correct, delete, restrict or port your personal data, and to object to processing. Email privacy@autoreceptionist.co.uk — we respond within 30 days.

7. Cookies

We use only essential cookies for the site to function plus an anonymised analytics cookie. No advertising cookies, no cross-site tracking.
